Community Management

Community Management for the Replies, Messages and Complaints

Publishing is the visible half of social media. The other half — answering comments, handling direct messages, responding to complaints in public — is where enquiries actually arrive and where reputational damage actually happens. Community management covers that half, and it is the one most often left to whoever has time.

Why Choose Us

We Treat Responses as the Real Work

An unanswered message is a lost enquiry, and an unanswered complaint is a public one.

Messages Answered

Because enquiries arrive there and frequently go unread.

Response Times Defined

Agreed and met, rather than aspirational.

Complaints Handled Openly

Publicly acknowledged, resolved privately.

Escalation Defined

Who handles what, before something serious arrives.

Tone Documented

So different people respond consistently.

Community Management, Explained

What Does It Actually Involve?

Four streams, each needing a different response.

Discuss Your Community →
  1. 1

    Comments

Answering questions publicly, which others also read.

  2. 2

    Direct Messages

Where enquiries arrive and where most go unanswered.

  3. 3

    Complaints

Public, visible, and requiring a specific approach.

  4. 4

    Mentions

    Conversation about you happening elsewhere.

Our Process

How We Handle Community

Define the rules before you need them, because complaints do not wait.

  1. Set Response Standards

    Times you can actually meet.

  2. Document Tone

So responses are consistent across people.

  3. Define Escalation

What goes to whom, agreed in advance.

  4. Handle Daily

    Comments, messages and mentions.

  5. Report Themes

What keeps coming up, which usually indicates a product or site problem.

Complaints

Why Deleting a Complaint Makes It Worse

The person complaining notices, and now they have a second grievance.

What is the right response?

A brief public acknowledgement and an offer to resolve it privately. The public part matters because everyone else reading is judging how you handle problems, not whether you have them.

Deleting converts a service complaint into a censorship complaint, and the person affected will say so, usually with a screenshot.

Genuine abuse and spam are different and should be removed. A customer with a real grievance is not that, however unfair it feels.

Why do unanswered messages cost so much?

Because for many businesses a substantial share of enquiries now arrive there rather than through a form, and nobody has been made responsible for the inbox.

Messages accumulate unread, the platform reports a slow response time publicly, and prospective customers see that before deciding whether to bother.

It is the cheapest fix in social media — assign the inbox to someone, define a response time, meet it — and it is frequently the largest single loss in the channel.

Community management covers the responsive half of social media — replies, direct messages, complaints and mentions — with defined response times, documented tone and an escalation process.

Nobody Owned the Inbox

Social media responsibilities get assigned in terms of publishing: who writes the posts, who approves them, when they go out. The calendar is owned and the schedule is met.

The message inbox is not on anyone's list. It accumulates, unread, filling with people asking whether you deliver to their area and what your prices are.

The platform then displays a response rate publicly, so prospective customers can see that messages go unanswered before they decide whether to send one.
